Step 1: Ensure Access to Questionnaire Features
Before you begin creating a questionnaire, you must confirm that you have the necessary permissions and access:
- Plan Requirements: Your subscription plan must include access to the ePRO features.
- Administrative Rights: Ensure the series administrator has granted you the rights to create and manage questionnaires.
Step 2: Navigate to the Questionnaire Creation Interface
Accessing the Menu: Log into your EasyMedStat account and go to `Variables > Questionnaire`. This is where you can start the process of creating a new questionnaire.
Step 3: General Information
- Title: Provide a clear and short title of the questionnaire's purpose.
- Language Settings: Set the default language of the questionnaire interface.
Step 4: Introduction
- Welcome Text: Craft a welcoming introduction that prepares the participant for the questionnaire. This should set the tone for the study and explain its purpose succinctly.
- Estimated Time Display: Enable the option to display the estimated time to complete the questionnaire. This feature helps set expectations for participants, allowing them to manage their time effectively. The estimated completion time is calculated based on the number and type of questions included, providing a realistic overview for participants.
Step 5: Questions
- Add Questions: Create and organize questions using different formats (e.g., single choice, binary, free text, numeric).
- Variable Assignment: Assign variables to each question for easy data mapping and analysis.
Step 6: Outro
- Closing Remarks: Conclude the questionnaire with a thank you note or any final instructions for the participant.
- Further Actions: If there are subsequent steps for the participant post-questionnaire, clearly outline them here.
Step 7: Schedule
Efficiently scheduling your questionnaire is vital for managing participant engagement and ensuring timely data collection. EasyMedStat offers three distinct scheduling options:
- Fixed Date: Set a specific date for all participants to receive the questionnaire. This option is straightforward and ensures that everyone receives the questionnaire at the same time, which can be useful for standardized data collection points across all participants.
- Event-Triggered: This is the most commonly used scheduling option. It allows questionnaires to be sent based on specific events in the participant’s timeline. For example, a questionnaire might be scheduled to go out 30 days after a participant’s inclusion date or after a particular health event. This method ensures that the data is collected in a relevant context related to the participant’s experience or study milestones.
- No Scheduling: With this option, questionnaires are not sent out automatically. Instead, they are dispatched manually by the researcher or study coordinator. This allows for greater flexibility and control over the timing of questionnaire distribution, which may be necessary for more complex study designs or specific research needs.
Follow-up Reminders: Currently, there is no option to set follow-up reminders within this version of EasyMedStat. This feature may be considered for future updates.
Step 8: Emails
Setting up email notifications is an important step for engaging participants and ensuring they are aware of the need to complete the questionnaire. EasyMedStat provides several customization options to tailor your emails:
- Name of the Sender: Specify the name that appears as the sender of the email. This could be a person or the organization running the study. Using a recognizable sender name can increase the likelihood of the email being opened and the questionnaire being completed.
- Email Title: Craft a concise and informative title for the email. This title should capture the recipient's attention and clearly indicate the purpose of the email, such as "Invitation to Participate in [Study Name] Questionnaire."
- Email Message: Write a personalized message that will appear in the body of the email. This should include a friendly greeting, a brief explanation of why the recipient is receiving the email, and a clear call to action. You may also want to include a link directly to the questionnaire, ensuring easy access for participants.
Step 9: Preview
Review Content: Carefully review the entire questionnaire to ensure all information is accurate and the layout is intuitive.
Important note: Please note that conditional display and event bounds can not be tested within the questionnaire preview.
Finalizing and Launching
Once you are satisfied with the questionnaire setup, ensure all settings are saved correctly, and then proceed to launch the questionnaire for your study participants. Click on the Activate button in the questionnaires list to launch the questionnaire.
